Privacy Policy

When you create an account or use NurseCircle, we may collect information you provide, including name or display name, email address, profile photo, nursing specialty, professional biography, years of experience (optional), city/state/country (optional), professional interests, and circle memberships.

Content you create is also collected, including posts, comments, voice posts, voice recordings, automatically generated transcripts, photos, polls, reactions, messages (if available), saved content, and bookmarks. You remain the owner of the content you create.

If you use them, we also collect your private Shift Reflections — including how you rate your mood, energy, and support after a shift, the challenges you select, and any private notes you write — and your conversations with Cara. Shift Reflections are private to you and are not shown to the community.

We may automatically collect device information including device type, operating system, app version, browser type, device identifiers, crash reports, diagnostic information, language preferences, and time zone.

We may also collect usage information such as pages viewed, circles joined, posts viewed, search activity, content interactions, likes, comments, poll participation, feature usage, and session duration. This helps us improve the platform.

NurseCircle includes "Cara," an education-first assistant you can use by text or voice. When you interact with Cara, your messages (and, for voice, your audio) are sent to our AI provider (OpenAI) to generate a response, along with limited context you choose to include (such as your specialty and interests). Cara is designed for general nursing education only; the app actively blocks patient-identifying information before it reaches Cara, and Cara does not provide diagnosis, treatment, or patient-specific guidance.

Conversation history: when you are signed in, your Cara conversations are saved to your account so you can continue them, and you can delete them. If you use Cara as a guest, your Cara conversations are stored only on your device.

Personalization and memory: with your consent, Cara can personalize your Daily Brief, recommendations, and coaching using selected profile information and activity. "Cara Memory" is optional and off by default; when enabled, it stores a short set of items (such as your goals and interests) on your device, never includes patient information, can be viewed, edited, or cleared by you, and clears when you sign out or remove the app. While Cara Memory is on, a brief summary of it is included as context when you chat with Cara (sent to our AI provider with your message, like the rest of the conversation); turning memory off stops this. "Growth Insights" (shown in-app as Cara Insights) is optional and, when enabled, stores summarized patterns and topic labels from your own activity — not the wording of your questions or reflections — and can be paused or cleared anytime.

If you choose to create voice posts, we may process audio recordings, automatic transcripts, and AI-generated titles, summaries, and tags to improve discoverability and accessibility. Your microphone is used only when you choose to speak or record. Automatically generated content may contain inaccuracies; please review it before publishing.

We use your information to create and manage your account, personalize your experience, recommend Circles, display relevant content, improve search, deliver educational resources, improve product performance, respond to support requests, detect abuse and fraud, improve platform security, and develop new features.

Educational content provided by NurseCircle is intended for informational purposes only. NurseCircle does not provide medical advice or replace clinical judgment.

Always follow your employer's policies, your scope of practice, and applicable laws and regulations.

To help maintain a professional community, we may review content using automated systems and human moderation to identify spam, abuse, harassment, hate speech, dangerous misinformation, patient-identifying information, and privacy violations.

Content may be removed if it violates our Terms or Community Guidelines.

NurseCircle is designed for healthcare professionals. Users must never upload patient names, medical record numbers, dates of birth, patient photographs, medical charts, hospital wristbands, addresses, phone numbers, or any information that could identify a patient.

Users remain responsible for complying with HIPAA (where applicable), workplace policies, professional ethics, and local privacy laws.

If using the web version, NurseCircle may use cookies or similar technologies to keep you signed in, remember preferences, improve performance, analyze usage, and improve security.

You may control cookie preferences through your browser settings.

We do not sell your personal information.

With Service Providers: We may share information with trusted providers who help operate NurseCircle. These currently include Google Firebase (cloud hosting, authentication, database, storage, and push notifications), Sentry (error reporting and product analytics), Resend (transactional email delivery), and OpenAI (AI voice transcription and assistant features). If paid features are enabled, we also use Stripe (payment processing on the web) and RevenueCat (in-app subscription management on iOS and Android). These providers process data only as needed to provide their services and are required to protect your information.

Analytics: We use Sentry to record app errors and anonymous product-usage events (such as which features are opened) to improve NurseCircle. These events are limited to category tags and never include your posts, messages, reflections, AI conversations, or other personal content.

Legal Requirements: We may disclose information when required by law, including court orders, legal investigations, government requests, or for the protection of rights and safety.

Business Transfers: If NurseCircle is acquired or merged, user information may transfer to the new organization subject to applicable laws.

We implement reasonable technical and organizational safeguards designed to protect your information, including encryption in transit, secure authentication, access controls, security monitoring, and secure cloud infrastructure.

However, no system can guarantee absolute security.

We retain information only as long as necessary to operate the Service, meet legal obligations, resolve disputes, and enforce our agreements. When appropriate, information may be deleted or anonymized.

Depending on your location and applicable law, you may have the right to access your information, update your information, delete your account, download your data, manage notification preferences, control profile visibility, and manage privacy settings.

You can delete your account at any time from within the app (Profile → Settings → Delete Account), which permanently removes your account and associated data, including your profile, posts and comments you authored, direct messages, Shift Reflections, Cara conversation history, progress, and uploaded photos and voice notes. Certain information may be retained if required by law or for legitimate business purposes, such as security, fraud prevention, or legal compliance.

Because "Cara Memory" is stored on your device (not on our servers), it is not removed by server-side account deletion; it clears when you sign out or remove the app, and you can clear it anytime from the Cara Memory controls.

NurseCircle is intended for adults. Users must be at least 18 years old. We do not knowingly collect personal information from children.

If you access NurseCircle outside the country where our services are operated, your information may be transferred to and processed in countries where our service providers operate. We take reasonable measures to protect your information during such transfers.

NurseCircle may link to third-party services or integrate with third-party providers. Their privacy practices are governed by their own privacy policies. We encourage users to review those policies before sharing information.

We may update this Privacy Policy periodically. When material changes are made, we will update the Effective Date and, where appropriate, provide additional notice. Continued use of NurseCircle after updates constitutes acceptance of the revised Privacy Policy.
